Job Description

UMG is seeking a dedicated and organized Office Manager/Admin to oversee the daily operations of our office. This role is crucial in ensuring a productive and efficient work environment. The ideal candidate will manage office resources, coordinate administrative tasks, and support staff to facilitate smooth business operations. Responsibilities

  • Office Operations:
    • Manage day-to-day office activities, including scheduling, filing, and correspondence.
    • Ensure office supplies and equipment are maintained, replenished, and in good working order.
    • Oversee office layout, cleanliness, and organization.
  • Administrative Support:
    • Provide administrative assistance to executives, including managing calendars, organizing meetings, and preparing documents.
    • Coordinate travel arrangements and accommodations as needed.
    • Handle incoming calls, emails, and inquiries, directing them appropriately.
  • Human Resources Coordination:
    • Assist with onboarding new employees, including orientation and paperwork.
    • Maintain employee records, timekeeping, and attendance tracking.
    • Serve as a point of contact for HR-related inquiries.
  • Financial Management:
    • Oversee office budget, including tracking expenses and processing invoices.
    • Collaborate with accounting on financial matters such as payroll and reimbursements.
    • Manage vendor relationships and negotiate contracts for office services and supplies.
  • Event Planning:
    • Organize company events, meetings, and team-building activities.
    • Coordinate logistics for office functions such as conferences, training, and workshops.
  • Technology and Communication Systems:
    • Ensure office technology, including phones, internet, and printers, is functioning properly.
    • Liaise with IT support for troubleshooting and technology upgrades.
  • Compliance and Policy Enforcement:
    • Ensure office operations comply with company policies and procedures.
    • Maintain health and safety standards in the workplace.

Qualifications

  • Education: Bachelor’s degree in business administration, management, or a related field preferred.
  • Experience: 3+ years of experience in office management, administration, or a related role.
  • Skills:
    • Excellent organizational and multitasking abilities.
    • Strong communication and interpersonal skills.
    • Proficiency in office software (e.g., Microsoft Office, Google Suite).
    • Basic financial management and budgeting skills.
